Seguramente te ha tocado que estando en una reunión te das cuenta que podrías estar haciendo algo más productivo, sin embargo tu compromiso es estar físicamente en esa junta. La mayoría de las ocasiones sucede porque la reunión no ha sido planificada correctamente.
Por eso a continuación te compartimos 5 tips básicos a tomar en cuenta en la planificación de tus juntas:
1. Establece un objetivo, y cúmplelo.
Quien vaya a dirigir dicha junta debe de previamente analizar su importancia, el impacto y el alcance de la misma, buscando transmitir desde el inicio dicho objetivo para justificar el tiempo que les estás pidiendo a tus colaboradores para prestarte de su tiempo laboral.
2. Envía información previa sobre la junta.
De esta forma, los asistentes estarán preparados sobre el tema a tratar y no se perderá tiempo en explicaciones que podrían tener lugar en otro momento.
3. Presenta la propuesta, planteamiento o problema mostrando los elementos claves.
Cuan sencillo serían tantas cosas si fuéramos capaces de ordenar nuestras ideas de manera coherente según la necesidad del momento. SI hablarás acerca de acontecimientos que ocurrirán en el tiempo, ten presenta lo importante de presentar dichos acontecimientos como un proceso desplegado en orden jerárquico según su ocurrencia. El orden con que presentes tu información será crítico para facilitar la comprensión de quienes te escuchan.
4. Indica la participación que debe tener cada miembro del equipo.
Piensa desde antes del inicio de la junta acerca del papel que tendrá cada miembro en aquello que les estás presentando, y velo compartiendo a lo largo de tu mediación en la junta. Logra ganchar a tu audiencia haciéndola parte del proyecto, muéstrales en donde se involucrarán para que se conecten con aquello que les presentas.
5. Realiza una minuta con los puntos claves de la junta y compártela con los participantes.
Así será más fácil dar seguimiento a los acuerdos. Anota el acuerdo, una pequeña descripción de los entregables, la fecha compromiso y el responsable, para tener de manera muy concreta una herramienta de seguimiento pero también de recordatorio y compromiso por parte de los asistentes.
6. Programa la siguiente reunión de seguimiento.
Establecer fechas compromiso motiva a la acción a los involucrados, y les da una idea de la importancia y urgencia de su participación en dicho proyecto o acuerdo.
